Departmental Form:
The following email was sent September 14 to one contact within each department to ask for the form to be completed:
To: Dalhousie University Department Contacts:
As a result of the analysis of the GSPIP process, a new system is being developed to manage and process GSPIPs. In preparation for the new Graduate Funding Payment (GFP) system which will launch in March 2019, we would ask you to provide some information about your department. This information will help us setup the system for your department. Attached is a form which will help us to understand who will need access to the system, and in which role, along with other required information.
Please send back 2 copies of the form to us.
- One fax/fax-to-email completed form with the Department Chair signature (fax-to-email to gfp@dal.ca or fax 494-6732)
- One completed form in Word. Having a copy in Word will help us compile the information more easily (email to gfp@dal.ca)
Currently there isn’t a comprehensive list of contacts by department, therefore if you are not the correct contact for the department, please forward to the appropriate individual and let me know the contact’s information. In having departments complete the requested form, a complete list of contacts can be developed. To avoid duplicate forms being created in departments, I have sent the form to only one contact within each department. Please share this email with others in your department that are involved with departmental funding and involve them in the creation of the form.
If you would like more details about the project, I’ve included an email below that was sent to the Dalhousie Community on May 14.
Please continue to process GSPIPs as usual. We will provide updates throughout the project, particularly as it gets closer to the new year for scheduled training sessions.
We look forward to working with the Dalhousie community on the Graduate Funding Payments project to the benefit of our students, faculty, researchers and staff. Please contact me at Pam.Perry@Dal.Ca if you have any questions.
Sincerely,
Pam Perry

MEMORANDUM
To: The Dalhousie University Community
From: Ian Nason, Vice-President, Finance & Administration
Carolyn Watters, Provost & Vice-President Academic
Date: May 14, 2018
Re: Graduate Funding Payments Project / GSPIP Process
We would like to update the Dalhousie community on the Graduate Funding Payments (GFP) project. This project came out of Strategic Priority 5.7 to “improve the effectiveness and efficiency of administrative and operational processes aligned with our academic mission.”
Overview
The Graduate Funding Payment process, also known to many currently as the Graduate Student Payroll Information Profile (GSPIP) process, manages data, payments and information related to graduate students who have received scholarships and funding.
A total of $24 million in graduate student funding from various funding programs, scholarships and researchers is processed each year. Graduate funding supports 1000-1400 graduate research students a term in 78 graduate programs across Dalhousie.
This process has traditionally been highly manual, non-transparent and paper-based. Through this process-improvement project, we will see a reduction in the manual processing and an overall improvement in the experience for graduate students.
Why are we doing this?
- Improved student service and experience
- Ease of access to data and information for students, staff and faculty
- Accurate and timely disbursement of funding to graduate students
- Increased efficiencies through online processes and approvals
- Reduced process errors
- Increased understanding and awareness of payment and process information
- Reduced operational costs
- Reduce repetitive and non-essential activities
- Increased time for value-add activities that contribute more effectively to student experience and Dalhousie University
- Reduced carbon footprint by eliminating paper processes and transportation
How may this project impact you?
- If you work directly with the Graduate Funding Payments Project/GSPIP process, you will be directly impacted by this initiative. When the project is complete, there will be a new online process to manage and facilitate graduate funding payments. You will be contacted by the project team regarding details and training.
- Direct impacts for key groups are:
- For Students:
- Receive and accept funding offers through an online system
- Graduate funding details stored and accessible in an online system
- For Academic Department Staff managing the process:
- Input, submission and management of all funding information for students in your department through an online system
- Approvals managed through an online process
- Department funding details stored and accessible in an online system
- Researchers:
- Approvals for funding through an online system
- Graduate funding details stored and accessible in an online system
- For Students:
